How do I schedule a videoconference?

How far in advance do I need
to schedule a videoconference?
We receive videoconference requests year-round and all videoconferences are scheduled on demand/by request. For the best chance of reserving a program for the date and time you want, send a request as soon as possible. This will give you the greatest opportunity at scheduling the date and time that works best for you and your students. Additionally, it will provide you with ample time to look at the “Planning a Videoconference” section of the thematic module of which you and your students will be participating and prepare your students prior to
the connection.
Is there a fee if I cancel or reschedule?
There is no charge to cancel or reschedule your videoconference more than seven days before your confirmed date and time. If you cancel your program within seven days of the confirmed date of the videoconference, you will be charged for the full price of the program. If you need to reschedule your program within seven days before the confirmed date of the program, you can do so one time free of charge. Rescheduling a confirmed program more than once will result in a $25 administrative fee for each rescheduled program.
How do I connect for my scheduled videoconference?
Our videoconferences all connect via IP. Please make sure to let us know in advance which way you will be connecting. System testing is available on-demand to ensure technological compatibility. On the appointed day of the videoconference please plan to dial in ten minutes early in case there are last-minute connection difficulties.

How much does it cost to participate
in a videoconference?
It costs $125 per videoconference not including any applicable connection charges. If someone in your school or district who does the videoconference scheduling joins our Friends of the Hall of Fame membership program, he or she would receive a $25 discount off all of their scheduled videoconferences for one calendar year ($100).
Do you offer a discount for scheduling multiple connections?
As of Fall 2008, yes! If you schedule four programs within a school, you will receive the 5th one free. If you are a member of the Friends of the Hall of Fame, that's five videoconferences for $400 ($80 each). If you are not a member, you still receive five videoconferences for $500.
Is there a limit to how many students can participate in one videoconference connection?
Although we do not limit how many students can participate in the videoconference we have found that the more students in the classroom during the connection leads to much less interactivity and participation. The goal of the videoconference is to be as interactive as possible so we recommend your typical class of students (20 - 30 participants) be involved in the program.
How do I prepare my students for the videoconference?
Always check the “Planning a Videoconference” section of the thematic module of which you and your students will be participating. This section provides you with review materials, primary source documents and other necessary items that you will need to prepare your students for the videoconference. You may also choose to do all or some of the “Suggested Pre-Program Activities” found online. Although these are optional they will help your students have greater understanding and enjoyment of the videoconference. Additionally, there is a videoconference checklist under the “Planning a Videoconference” section of each thematic module. Please use that checklist to help prepare for the connection.
What equipment do I need in order to experience a videoconference with the Hall of Fame?
Unfortunately right now it's not as easy as having a webcam and an internet connection. The Baseball Hall of Fame draws upon its many resources - such as archived audio, video and still images - to enhance the student experience, so you will need some specific videoconferencing equipment:
-A videoconferencing codec, short for "coder/decoder," it processes and compresses the outgoing and incoming signals. Tandberg and Polycom manufacture the two prevalent videoconferencing hardware systems.
-A camera and microphone to transmit audio/video from your classroom to Cooperstown. After all, this is a live, interactive experience. (This is generally included with equipment from Tandberg and Polycom).
-A television, screen, or otherwise blank surface to project images from the Hall of Fame.
-Speakers, in order to hear audio from the Hall of Fame.
-An enthusiasm for interactive, standards-based learning, using baseball as a platform!
